Title: Accounts Payable Specialist

Salary Range: $55-65k based on skills and experience

 

Position Summary

The Accounts Payable Specialist plays an integral role in analyzing accounts payable transactions to ensure compliance with internal controls and accounting policies. This position reports directly to the Controller. This position is responsible for managing and processing invoices and payments, ensuring accuracy and timeliness.  This position will perform duties to complete month-end and year-end reporting.

Essential Duties & Responsibilities

  • Processes all incoming invoices while checking for accuracy, coding to the correct GL codes and matching to purchase orders
  • Prepares AP Aging report for approval of weekly/biweekly payment processing
  • Processes outgoing payments to all vendors, suppliers, employee expense reimbursement and outside sales commissions
  • Reconciles the accounts payable ledger to ensure all bills and payments are accounted for and properly posted
  • Verifies and investigates discrepancies by reconciling vendor accounts and monthly vendor statements
  • Maintains all vendor and supplier accounts within ERP
  • Records and reconciling all bank transactions in ERP
  • Administers the travel booking and expense management solution
  • Assists in month-end closing activities and preparation of financial reports
  • Participates in audits and provide documentation as needed
  • Identifies and implements process improvements to increase efficiency and effectiveness
  • Maintains all 1099 vendor records and issuing yearly 1099 tax forms
  • Performs other duties and/or special projects as assigned

Qualifications & Requirements

  • 3+ years of Accounts Payable experience
  • Associate’s degree in accounting and/or equivalent experience
  • Knowledge of general accounting rules
  • Proficiency in accounting software and Microsoft Office Suite, NetSuite a plus
  • Strong attention to detail and accuracy
  • Ability to work on multiple projects and meet various deadlines throughout the monthly cycle
  • Excellent verbal, written, and interpersonal communication skills
  • Highly motivated, energetic, self-directed individual with good analytical and problem-solving skills
  • Business partner and team mentality with demonstrated ability to interact at all levels within the organization
  • Demonstrates strong organizational skills, including following up on their own needed actions
  • Ability to maintain confidentiality regarding company financial and proprietary and sensitive information
  • Experience with travel booking and expense management solutions preferred, Navan a plus

 Work Environment

Normal office working conditions. Dress code is casual. Typical working hours of Monday through Friday (8am-5pm), and on occasion may need to work beyond the normal hours to meet project deadlines.
